In 2021, Bydgoszcz implemented the automation of electricity document management. This initiative has been awarded once again and is held as a model for other local governments.
This time, it was recognized by the "Innovative Local Government 2024" competition. The goal of the competition is to promote creative local governments and inspire others to take innovative actions. The subject of the competition are the descriptions of completed projects submitted by local governments, with the main evaluation criteria being innovation on a national scale and the results of the implemented solutions.
The recognized project is titled "Automation of the process of obtaining, distributing, and archiving electricity documents from the supplier and distributor for Bydgoszcz City departments, along with obtaining data from these documents." The robot operating in RPA (Robotic Process Automation) technology logs into the e-BOK of the electricity supplier and distributor at least once a day, then downloads all new documents that have appeared in the systems since the last login, including invoices, payment notices, contractual penalties, interest notes, and others. The number of documents to download annually can reach up to 20,000. The improvement in energy management cost 133,000 PLN and was financed from the city's budget. The project began in October 2020. The system was expanded with additional functions through actions carried out as part of the DUET project. This included the addition of a building analysis feature that allows the calculation of energy costs for individual buildings and CO2 emission calculations.
